NOTE:  Any Event and the Use of our Facilities, Grounds and other Amenities are solely Reserved in Advance.  See Calendar  for available dates.  We have other full time employment and a busy family schedule and do not keep regular business hours whereby we are "open" to impromptu visits from the general public.

GROUP RATES         

ABOUT OUR RATES Our rate structure is based on the number of people that you expect to come to your event - because this is the number of guests that we will prepare for.  (Our preparations include:  lighting 2-3 acres of the grounds,  configuring, setting up and cleaning the tables and chairs and configuring hay bales to accommodate the number you tell us are coming, allowing for and directing parking, providing the right number of clean roasting forks, cleaning and outfitting the restrooms, providing roasted peanuts in the shell around the campfire, assisting and directing guests on our grounds and in the animal petting area, and of course, the number of hayrides we will be providing your group.)  Please see our Hayrides & Activities page for description of the hayrides and how activities are usually structured.  We understand that due to last minute changes in people's schedules, it is unlikely that you will have the exact number of guests that you expect in advance.  Our rate structure allows "give and take" for both parties in this matter.  If we end up serving more guests that you have anticipated, the cost will not be greater.  If you wind up with fewer guests than expected, the cost will not be less We trust you will see the simplicity and fairness of this policy and that you will find your experience at Firey Trails to always be safe, enjoyable and affordable.

RATES AND FINAL GUESTS PROJECTION  When you book your date with us, you can estimate approximately how many guests you expect for your event (subject to change.)  If you do not have an early estimate, that is fine too.  Then within a week before your visit, we will email you a link to a checklist.  We ask for the final number you are projecting (along with preparation details for us to know.)  We will base the rate on the number you tell us (see chart below).  Based on this final number projected, we will email you an invoice reflecting the rate (see chart below) and a statement reflecting the balance (invoice amount less deposit paid).  The balance due can then be paid upon the conclusion of your event.  Please submit the checklist answers around 2-3 days before your scheduled event.  We send a link to the Checklist within a week of your event but if you want to look it over beforehand you are welcome to do so.    

MORE ABOUT THE RATE STRUCTURE  Since a Firey Trails event offers so much more than ONLY the hayrides that can be included, the rate is based on the "total event" aspect more so than the number from your group that may choose to go on a hayride or participate in the other activities, etc.  The rate is determined by how many people are on the grounds for your event (including parents who stay for the duration of a child's birthday party.)  Your group has at its disposal - exclusive use of our lighted grounds, modern restroom facilities, lit parking area, walking trails, lit playground area and animal yard, and recreation areas for a full three hour time frame.  We realize that this is unique to how hayrides are usually priced.  They are usually priced so much per head, but with not much else, if anything, included besides the actual hayride itself.  But you will find Firey Trails very unique in all the amenities offered for the total event.  Although "hayrides" are usually how people found us searching on the internet and "hayrides" are still the focal point of Firey Trails and are how we started way back in 1989, they have come to have a somewhat lesser role in the whole event experience with everything else that we offer in addition to the hayrides themselves. 

A UNIQUE EXPERIENCE  As far as we know, you will find nothing like the Firey Trails experience in the state of Oklahoma (let alone, the Tulsa metro area).  We know this because we have had no model of anything similar to go by in planning Firey Trails.  We try to better the experience with every passing year and add any new little touches we can think of.  We must be doing something right based on our extremely full 2008 weekend schedule (34 groups booked for 2008-twice the number of 2007 events), the many miles some groups drive to get here, and all groups that repeat from year to year  (one group has scheduled for their 11th visit.)  We think if you choose to reserve a visit with us that you will agree.

We do find it necessary to charge a minimum rate based on  how much effort is necessary for set-up, cleaning and breakdown for each event.  Also, since Firey Trails is a secondary business, we also have to plan tightly around an otherwise full time family and work schedule for your event.

Want to check out Firey Trails before scheduling an event?  There are a couple ways to do this.  We keep our gate closed (we are only "open" during an event), but you can call us at 227-1025 and set up a time that day or the next to meet us on the grounds.  We will be glad to answer any questions and show you around.  The second way is to pick out a scheduled event on our calendar and come on the grounds while an event is going on.  (Don't worry, it won't be as if you're crashing the party-there's sometimes so much going on, you may not be noticed.)  We've had interested prospects do this already, and it is a great way to get a feel of either the scenery of the daytime or to see the abundant ambient lighting over the grounds at night.  Just be sure to choose a "look see" event during the same time frame you may be interested in.  Thanks.

*  On the larger number of people, we will do as many hayrides as are necessary or as many as time allows in approx. a three hour time frame.  We have found that not all visitors choose to go on a hayride.

 

Rates Subject to Change without Notice

Payment Terms:  We accept cash or check only.  (Sorry, we are not set up for credit card payments.)  Beginning in 2008, a $75 Deposit Check is required upon reserving your date.  Your date is scheduled when you call, but is considered only tentative until the deposit is in hand.  We promise to hold your date for ten days only from the time you reserve while waiting for your deposit (so please drop your check in the mail right away.)  The deposit paid to reserve your date will be deducted in full from the rate above.  The full balance is due at the conclusion of your event before your group leaves unless special payment terms have been requested and agreed to in advance.  Please take the time to look over our Policy Page which explains our Deposit & Cancellation Policy, Hayride Rules and Rain Policy.
